Applying for an Official Academic Transcript

 

An official academic transcript includes yearly enrolment details, units, results, credit points, course completion and/or conferral of award details, as well as all fails and withdrawals. It is only available in hardcopy - we do not have a softcopy option.

Processing Time-Frame:
Routine requests received by 4.00pm Tuesday, will be available for collection or posted on Friday.

How to request an official transcript:

Complete the online request form and print. If you are a past Macquarie student and do not remember your student number, please leave this blank but complete all other sections. Please read all instructions carefully and include relevant payment details (money order, cheque or credit card only - No other payment options are accepted - eg BPay, by phone or online.)

  1. Attach a specimen of the student's signature, (eg. drivers licence or passport). This is required to enable the University to fulfil its obligations under the Privacy and Personal Information Protection Act (NSW) 1998. Your request WILL NOT be processed until you provide this.

  2. Ensure you have no outstanding fees or debts. Your transcript request cannot be processed until all debts/sanctions are cleared. You can contact the Student Fee Office to confirm the status of any outstanding debts and make any required payments.

  3. Post, fax or email the completed documents to the Student Enquiry Service.

OR request in person

 

  1. Complete the green transcript request form available at the cashier, level 1 Lincoln Building.

  2. Pay for the transcript at the cashier. Please note their opening hours of 9am-5pm weekdays, and SES 9.30am opening on Tuesdays, and 4.30pm closing on Fridays.

  3. Urgent Processing? Go to the Student Enquiry counter and your transcript can be printed immediately.
    Routine Processing? Once the batch has been processed, your transcript can be collected from the Student Enquiry counter or posted to your postal address.


Authorisation letters/third party collection

 

Due to the Privacy Act, if you wish for a third party (eg a family member, partner, friend) to collect the transcript on your behalf, you must provide them with an authority letter. This must be produced at the time of collection by the nominated person (agent). The authority letter should contain your name, student ID or date of birth, the name of your agent, and a sentence outlining what they are permitted to do.

 


There are two (2) processing methods available:

Urgent
  • Urgent transcripts can be requested in person only. Transcripts can be printed on the same day, usually within 10 minutes, if the student or authorised third paty comes on campus and pays at the cashier's office.

  • This service costs $26 for the first copy, and $1 for each additional copy in the same request.

Routine
  • Requests received by 4pm Tuesdays will be ready for postage or collection the following Friday (the same week). This applies to requests made in person, by fax or by post.
  • This service costs $16 for the first transcript, and $1 for each additional transcript in the same request.
  • Please note that the University does not use Express post to send transcripts. All mail is sent by Australia Post or standard Airmail (where applicable). You are welcome to organise a courier at your own expense or send a self-addressed A4 size Express Post Envelope.

Transcripts can be posted directly to other Australian Universities free of charge. When completing the request form provide the other University's address and do not complete payment details.
